Position Title: Facilities Assistant

Hours of Work:  

 

     ·        30 hours per week over 5 days (within the following working hours - 08:30 -17:30 Monday to Friday).

     ·        1 or 2 Saturdays per month 08:30 – 16:30, with planned day off on Monday if working Saturday.

     ·        Ad hoc out of hours working may be required to set up functions and any late or early essential work. Overtime paid as appropriate.

 

 

 

Role Specification

 

Role Purpose:

 

To assist with the overall daily running of the Operations Department

 

Whilst always placing security focus on our operations, maintaining high quality of Health and Safety practise throughout the entire Lunns Brand, you will support in contractor supervision and carrying out compliance related checks.

 

In addition to completing checks, minor maintenance works, administrative support during projects. You will be assisting in carrying out actions generated from general risk assessments and support any other duties or tasks reasonably required.

 

Role Scope:

 

Support the overall operations department within Lunn’s

 

 

 

Area of Responsibility:  

Contractors and Inspections

 

Key Activities:

 

     ·        Prioritising security of our colleagues and assets at all times.

     ·        Escorting Contractors and inspection teams while carrying out their works in any areas of the business, during maintenance and in some areas of new project work.

     ·        Ensuring contractors are signed in, always escorted, and quality of work is high and due care and consideration to customers and colleagues is always paramount.

     ·        Assist in keeping accurate records on compliance systems and inspections.

     ·        Carry out Compliance checks monthly, quarterly or annually as directed and record on Inspection sheets or log onto company computer system.

     ·        Ensure all Health and Safety rules are always adhered to, if not these are escalated via the appropriate channels.

Compliance Checks

 

Key Activities:

 

     ·        Keep up to date with the plant/equipment registers and company inspection policies.

     ·        Assist in locating of switch boards, fire panels. alarm panels.

     ·        Coordinate with (Queen s Arcade) security.

     ·        Monitor weekly fire alarm tests and log as appropriate.

     ·        Carry out monthly tests /inspections on fire extinguishers, emergency lighting, fire doors, access routes and record onto computer system.

     ·        Carry out a monthly legionella check and flushing.

 Maintenance

 

Key Activities:

 

     ·        Record monthly electricity usage from meters and report if any deviations show up.  

     ·        Assist in setting up meeting rooms along with Support Team.

     ·        Carry out small maintenance and repair tasks, supervising, escorting and carrying out insurance inspections.

     ·        Help where required in setting up areas of the business for functions within the Queens Arcade or other areas of the business, as appropriate.

     ·        Report all defective equipment through the relevant channels.

Projects

 

Key Activities:

 

     ·        Support project delivery of work relating to any new projects either still under planning phase or during the construction phase of work.

     ·        Help in preparation of some areas of work, assist where required to control the smooth delivery of materials to site, control access and egress and storage areas and make sure they are safe and secure.

     ·        Assist in the security of site during opening and lock up procedures, sign off when required the end of day working paperwork.

     ·        Carry out any lighting and power switch off checks if instructed.

     ·        Carry out fire checks during hot works activity and sign off.

 

 

 

Area of Responsibility:

 Housekeeping & Stock control

 

 

Key Activities:

 

     ·        Assist or supervise where required the housekeeping team in carrying out its housekeeping duties.

     ·        Cleaning of all offices, corridors, bathrooms, high and low dusting, clean down desks and carry out Internal window cleaning, hoovering some carpet areas, taking deliveries of stock for the operations team.

     ·        Clearing storerooms, stock check cleaning products weekly or monthly. 

     ·        Control small tools and equipment held by Operations depart.

     ·        Support HR in setting up Pay day breakfast once per month.

Skills

 

Essential

Desirable

 

     ·        2 years’ experience in all-round knowledge of facilities

     ·        Housekeeping experience in the last 10 years.

     ·        Ability to use hand / power tools / cleaning equipment and painting equipment.

 

     ·        2 years’ experience in maintenance.

     ·        2 years’ experience in construction, with basic skill and knowledge.

     ·        CSR Card holder.

     ·        First Aid trained.

     ·        Driving Licence

     ·        Basic Electrical Safety.
